Terms of service
Effective date: 4 September 2026
These terms cover your use of StatusClerk, an application for Shopify stores that make things to order: it turns your open line items into production jobs, collects your customers' approval of proofs where you ask for one, and shows your customers the stage and expected date of each item. StatusClerk is operated by MB Croppick, company code 308104331, registered office Krivių g. 5, LT-01204 Vilnius, Lithuania ("StatusClerk", "we", "us"). By installing or using the app, you agree to what follows. Questions: support@statusclerk.com.
The short version
- You install StatusClerk on your Shopify store, pick your stages, and it turns every open line item into a job with what the customer typed.
- Where you ask for a proof, the customer approves it from an emailed link or from their order page before you make the item; a job is "ready to produce" only when the artwork is there and the proof is approved or none was needed.
- Your customers see each item's stage and expected date under that item on their Shopify order page, in your words — and nothing at all until you have previewed it and switched it on.
- Free for up to 25 active jobs. Pro is $19 a month for up to 150; Scale is $39 a month with no limit; both billed through Shopify, with a 14-day trial.
- Your data stays yours. Uninstall and it is deleted.
Who can use StatusClerk
StatusClerk is a business tool for Shopify merchants. To use it you need an active Shopify store, and you must be authorised to install applications on it and to accept these terms on behalf of the business that owns it. It is not intended for consumers or for anyone under 18.
What the service does
StatusClerk reads your open orders and their line items, including the personalisation your customers typed at checkout, and shows them to you as a production queue: one job per line item, with the product, quantity, the typed text and options, a due date computed from the lead times you set, and the stage the job is in. It batches identical work into printable run sheets with a QR code per piece, sends proofs to customers and records their decisions, emails customers when a stage changes or a date moves, and shows each customer the state of their own items on their Shopify order page, on a hosted status page, and through a lookup form.
What it writes to your store, and only when you switch it on. A tag and an order metafield on every stage change, so your Flow rules and saved views keep working; a fulfilment hold on a line while its proof is pending, shown on the order as held for proof approval; and a fulfilment when you mark a job done, if you choose. StatusClerk never edits an order, a product, a price or a customer, never takes a payment, and never sends anything to a customer before you have switched the customer-facing surfaces on.
Accuracy, and what you are responsible for
StatusClerk's status is derived from the work it can see: a job is ready to produce when its artwork is present and its proof is approved, waived, or not required by the rule you set. Expected dates are computed from the lead times, working days and closure calendar you set, counted from the proof approval or from the order. Every figure and date is computed with no estimation and no artificial intelligence.
That promise is about what the app can see. It cannot make the shop's records or the customer's typing complete:
- The customer typed the personalisation. StatusClerk shows it exactly as typed, on the queue, the run sheet, the proof page and the customer's order page. Checking that it is what the customer meant is what the proof step is for; if you choose not to ask for a proof on an item, you make it from what was typed.
- Dates are expected, not guaranteed. They are shown to the customer with the word "expected" and the rule they follow. Setting lead times that match how your shop actually works, keeping the closure calendar current, and moving a date when the shop cannot meet it, are your actions.
- Held jobs are working as designed. A hold — for a proof, or for a plan cap — is the app declining to treat an item as ready when it is not.
- Customer-facing sentences, stage names and branding are yours to set and check. What the customer reads under their item is text you chose or approved.
- Proofs you upload are yours. A rendered text proof is produced from your template and the customer's text; you are responsible for the template being right for the product.
We are not liable for losses arising from an item made to a personalisation the customer typed or a proof the customer approved, from an expected date computed correctly from the lead times you set, or from a decision you took where the information needed to catch a problem was shown to you before you took it.
We do not warrant that the service will be uninterrupted or error-free, and the service is otherwise provided "as is" to the extent the law allows.
Your account and your data
Your data — settings, stages, jobs, proofs, approvals, batches, delivery logs — belongs to you. We process it to run the service for you, as described in the privacy policy, which forms part of these terms. Your customers' email addresses are never stored: an address is read from Shopify at the moment an email is sent and not kept.
For your customers, you are the data controller and we act as your processor. For that processing the data processing agreement applies and forms part of these terms; where the two conflict on a data-protection matter, the agreement prevails. You are responsible for having a lawful basis to email your customers about their orders, and for telling your own customers what you do with their data where the law requires it.
We do not sell your data, use it for advertising, or use it to train any model. There is no AI provider in the service.
Plans, billing and limits
- Free covers up to 25 active jobs with every feature.
- Pro is $19 per month for up to 150 active jobs; Scale is $39 per month with no limit. Both are charged monthly through Shopify's billing system and shown on your normal Shopify invoice. Prices are shown in the app and at statusclerk.com/pricing.
- An active job is one open line item StatusClerk is tracking. A job stops counting when it is marked done, when its line is fulfilled in Shopify, or when the order is cancelled. POS and draft orders never become jobs.
- Trial. Your store's first paid subscription starts with a 14-day free trial. A store that cancels and subscribes again does not get a second trial.
- Over the cap. If you have more active jobs than your plan allows, the newest jobs are held — visible in the queue, marked, and never dropped — until you upgrade or a job finishes. No job is ever lost.
- Changing plans. You can move between Free, Pro and Scale at any time from the app, in either direction. Billing for a cancelled paid plan stops at once; the plan stays in effect until the end of the period you already paid for.
- Changes to price. We may change prices with at least 30 days' notice in the app or by email.
- Refunds. The Free plan and the trial exist so you can judge the service on your own orders before paying. We do not offer routine refunds for time already subscribed. If something on our side went wrong and cost you money, write to us — we would rather fix it than argue about it.
- Taxes are handled by Shopify as part of its billing.
Acceptable use
Don't use StatusClerk to:
- email people you have no order from, or use the service for marketing or bulk email;
- attempt to extract, reverse-engineer or resell the service;
- deliberately submit data designed to manipulate the service's output, probe other stores' or customers' data, or degrade the service for others;
- resell or provide the service to third parties as your own, or use one store's subscription to run production for other businesses; or
- break the law, or Shopify's terms, with it.
We may suspend an account that is doing any of these, or that is generating load that threatens the service for others. Where we can, we will contact you first.
Availability and support
We aim to keep StatusClerk running continuously, and we will give reasonable notice of planned maintenance where we can. We do not offer a contractual uptime guarantee. If a sync or an email cannot complete, it is retried; nothing is doubled and nothing is silently skipped, and the queue tells you when it is behind.
Support is by email at support@statusclerk.com, answered within one business day (Monday to Friday, European hours). There is no telephone or live-chat support.
Changes to the service
StatusClerk is actively developed and will change. We may add, alter or remove features. If we remove something you materially depend on, or make a change that significantly reduces the service, we will tell you in the app or by email and, if you are on a paid plan and unhappy, you may cancel.
Ending it
- You can uninstall StatusClerk from your Shopify admin at any time. That cancels the subscription through Shopify, immediately revokes our access to your store, and starts the deletion described in the privacy policy: about 48 hours later, on Shopify's shop-deletion signal, all your files and records are erased. Tags and metafields already written to your orders remain in your store; emails already sent remain with the people who received them.
- We may end or suspend your access for a serious or repeated breach of the acceptable-use section, or if required by law or by Shopify. Except where the breach makes it inappropriate, we will give notice and a chance to put it right.
Liability
Nothing in these terms limits or excludes liability where the law does not allow it to be limited or excluded.
Subject to that: neither party is liable for indirect or consequential loss, loss of profit, loss of business or loss of goodwill. Our total liability arising from the service, in aggregate, is limited to the greater of the fees you paid us in the 12 months before the claim arose, or 100 US dollars.
You accept that this limit is reasonable given what the service costs and what it does: StatusClerk shows you the work and tells your customers where it is. It cannot charge, refund, or move a payment, and every status it shows is one you can trace back to a job, a proof or a setting of your own.
Relationship with Shopify
StatusClerk is a third-party application. Shopify is not a party to these terms, provides no warranty for StatusClerk, and is not liable for it. Your use of Shopify is governed by Shopify's own terms, which take precedence over these for anything concerning the Shopify platform itself.
Law
These terms are governed by the laws of the Republic of Lithuania, and the courts of Lithuania have jurisdiction. If you deal with us as a business in another country, this does not remove any right you have under the mandatory consumer or commercial law of your own country where such law applies.
Changes to these terms
If these terms change materially, we will note it here with a new effective date and flag it in the app. Continuing to use StatusClerk after a change means you accept the updated terms; if you do not, uninstall.
