Custom order status on Shopify: what customers can actually see, and how to show more

A customer who ordered an engraved board sees two things from Shopify: an order confirmation, and, a fortnight later, a shipping notification. Between them, nothing. For a shop that makes things after the order, that gap is where the email arrives: is it started, did my spelling go through, will it be here for the 19th.

This guide covers what that page shows on its own, where tags and Flow stop, and what a per-item status has to carry before the emails stop.

What the order status page shows by default

The page is built from fulfilment events. Until a fulfilment exists, the customer sees the confirmation, the items and the totals. The properties they typed at checkout — the engraving text, the thread colour — do appear under each item, but they carry no state. The page cannot say whether that text has been checked, cut, or is waiting on anyone.

The customer reaches this page from the confirmation email without signing in. That is the good news: it is the one page every customer already opens, on their phone, in the store's own theme. Anything shown there is seen; anything sent separately competes with the rest of the inbox.

The timeline puts the order at a stage and the card carries what the customer typed. The change link is open while a change is still cheap.

The proof and both actions sit on the item itself, with a jump link to it from the top and the running-late note when a date has gone by.

Approving does not lock the door: a sentence and an Undo run for the minutes the shop set.

Both items have moved on together, and the change link is replaced by the closing sentence.

The last stage before Shopify's own shipping notification takes over.

Tags and Flow: where they stop

Most shops track production with tags. A saved view groups the engraving orders, someone moves the tag from artwork to in-production by hand, and Flow can move a tag when a fulfilment is created. It works for the shop. It does nothing for the customer: tags are internal, and no theme shows them.

The same goes for the admin's own in-progress marker and for notes on the order. They are a record for staff, not a message to the buyer. What reaches the customer is still an email someone writes.

Rule of thumb: if the status lives in a tag, the customer will ask for it by email.

Shipping notifications are not production status

Shopify's customer notifications fire on order and fulfilment events. You can edit their wording and send a manual email from the order. Two things still do not fit: a stage that is not a fulfilment event, and an order with three items in three different states. An email about the second item's proof is hand-written, every time.

Made-to-order shops end up with a rhythm: a proof email, a reply, a corrected proof, a reply, a shipping email. Each one is written by a person, and each one is a place a typo can slip in twice.

A status under each item

Shopify's customer-account extensions can render a block under each line item on the order status page, in the store's own branding, for a customer who is not signed in. That is the surface a made-to-order status belongs on. What the block needs to carry is short:

  • The stage, in the customer's words: Preparing your design, Waiting for your approval, Being made, Finished. Not the shop's internal names.
  • The expected date, and a sentence about what it depends on: five working days from approval, or from the order when no approval is needed.
  • The personalisation exactly as typed, with a request-a-change link while the shop has not started, and a closed-for-changes sentence once it has.
  • When a proof is waiting, the proof itself and the one action: approve, or request changes.
  • An order-level line above the items: how many items, and the latest expected date.

Keeping the rest of Shopify working

A status that lives only in an app is a status the rest of the shop cannot see. Whatever shows the customer a stage should also write a tag and an order metafield. Then the saved views, the Flow rules and the packing app keep working. It should also mark the item done when its line is fulfilled in Shopify, rather than wait for someone to click.

Doing it with StatusClerk

Questions

Do customers need to log in to see the status?

No. The block renders on the order status page a customer reaches from the confirmation email, signed in or not. A hosted page behind a signed link and a lookup form by order number and email cover customers who never open that page.

What about orders placed before I installed the app?

You choose the scope: every open order, or only orders placed after a date. Older orders show nothing, exactly as they did before.

Can I write the stage names myself?

Yes. Each stage has an internal name for the queue and a customer-facing label and description, and every fixed sentence the customer reads is editable.
